Manual / Bank Transfer Payments

The Manual / Bank Transfer option lets advertisers request a wallet top-up by making a payment offline — via bank transfer, check, or any other method you specify. You review and approve each request manually before the wallet is credited. This is ideal for enterprise clients, agencies, or regions where online payments are less common.

How It Works: Overview

  1. Advertiser submits a fund request with an amount
  2. System creates a pending transaction and notifies you
  3. You receive the offline payment (bank transfer, etc.)
  4. You approve the request in WordPress — wallet is credited immediately
  5. Advertiser receives a confirmation

Setting Up Manual Payments

  1. Go to WB Ad Manager -> Pro Settings -> Payments
  2. Enable Manual / Bank Transfer
  3. Enter your payment instructions in the text box:
  4. Bank name and account details
  5. Sort code / routing number
  6. Reference format for transfers
  7. Any other instructions for the advertiser
  8. Click Save Settings

These instructions are shown to the advertiser when they select this payment method.

Advertiser Workflow

Here’s what the advertiser experiences:

Step 1: Request Funds

  1. Advertiser logs in and goes to their Wallet tab
  2. Clicks Add Funds
  3. Selects Manual / Bank Transfer as the payment method
  4. Enters the amount they want to add
  5. Adds an optional note (e.g., their bank reference number)
  6. Clicks Submit Request

The form shows your payment instructions so the advertiser knows where to send the money.

Step 2: Make the Payment

The advertiser makes the actual bank transfer or other offline payment using the instructions you provided. The fund request is now in a Pending state in the system.

Step 3: Wait for Approval

The advertiser sees the pending transaction in their Wallet tab. Their available balance does not change until you approve the request.

Admin Workflow: Reviewing Requests

When an advertiser submits a fund request, you receive an email notification. The email includes the advertiser’s name, the requested amount, and their optional note.

Step 1: Go to Transactions

Navigate to WB Ad Manager -> Advertisers -> Transactions.

Step 2: Open the Pending Approval Tab

Click the Pending Approval tab to filter for transactions waiting for your review.

Step 3: Approve or Cancel

Each pending transaction has two row actions:

Action What It Does
Approve Credits the advertiser’s wallet immediately. Sends the advertiser a confirmation email.
Cancel Marks the request as cancelled. Sends the advertiser a notification. No funds are added.

Click Approve after you’ve confirmed the payment has arrived in your account.

Tips for Managing Manual Payments

  • Use a consistent reference format — ask advertisers to include their username or account ID in the bank transfer reference so you can match payments easily
  • Process promptly — advertisers cannot activate campaigns until their wallet is credited
  • Check your bank statement before approving — approve only after confirming the funds have arrived
  • Use the optional note field — remind advertisers to add their reference in the note when submitting
