Overview

The Co-Authors module enables:

  • Multiple writers on a single post
  • Invitation-based collaboration
  • Shared editing permissions
  • Multi-author bylines on published posts

Settings

Max Co-Authors 5 Maximum collaborators per post
Invitation Expiry 7 days Pending invites auto-expire
Allow Email Invites Yes Send invitations via email
Post Locking Timeout 15 min Lock duration during editing
Co-Author Can Remove Self Yes Allow leaving a collaboration

How It Works

For the Primary Author

  1. Create or edit a post
  2. Click Add Co-Author
  3. Search for members by name or username
  4. Click Invite next to the member
  5. Wait for them to accept

For Invited Members

  1. Receive notification (email and/or on-site)
  2. View invitation details
  3. Click Accept or Decline
  4. If accepted, post appears in their dashboard

Invitation Flow

Primary Author invites → Member receives notification
                                    ↓
                         Accept ←→ Decline
                            ↓           ↓
                     Full edit access   Nothing happens

Invitation Status

Status Meaning
Pending Waiting for response
Accepted Co-author has joined
Declined Invitation was rejected
Expired Time limit passed (auto-declined)

Byline Configuration

Control how co-author names display on posts:

Setting Example
Separator “, ” (comma space)
Last Separator ” & ” (space-and-space)

Result: “Alice, Bob, Carol & Dan”

Byline Order

Drag and drop co-authors to set display order:

  1. Open post in editor
  2. Find co-author list
  3. Drag names to reorder
  4. Save changes

Permissions

What Co-Authors Can Do

  • Edit post content (title, body, excerpt)
  • Upload/change featured image
  • Add/modify custom fields
  • Save drafts
  • Submit for review

What Only Primary Author Can Do

  • Invite new co-authors
  • Remove co-authors
  • Delete the post
  • Change post status (publish/unpublish)

Editorial Workflow

Enable review-based collaboration for teams:

  1. Go to Member Blog → Co-Authors
  2. Enable Editorial Workflow
  3. Configure:
Setting Description
Reviewer Roles Which roles can approve (Admin, Editor)
Require Feedback Reviewers must comment before approving

Workflow Process

Co-authors write → Submit for review → Reviewer approves → Post publishes
                                              ↓
                                    Request changes (with feedback)
                                              ↓
                                    Co-authors revise → Resubmit

Post Locking

Prevents editing conflicts when multiple co-authors work simultaneously:

Scenario Behavior
User A opens post Post locked for User A
User B tries to edit Sees “User A is editing” message
User A closes/times out Lock released after 15 minutes
User B can then edit Gets fresh lock

Team blogs Set max 3-5 co-authors, enable editorial workflow
